What we collect and why

If you contact us, we receive your name, email address, message and any company, service, budget or timing information you choose to provide. We use this to respond, understand your project and discuss a possible engagement. Name, email and a message are needed for the website form; the other fields are optional. You can contact us by email instead. Please do not include sensitive personal information in your brief.

We process project enquiries to take steps at your request before entering a contract, where applicable. We also rely on our legitimate interests in responding to business enquiries and managing business correspondence. We use connection and security information, including IP address and browser details, to deliver the website and protect our services against abuse, relying on our legitimate interests in secure operation.

Consent and website storage

ContentMate manages cookie choices and records a random receipt identifier, your decision and its time. Its consent record stores hashed IP address and browser information. Necessary storage supports your choices; optional cookies require your consent. This website currently has no analytics, advertising pixels or session-recording scripts. See our cookie policy.

Who handles the information

Our Formham service on app.formham.co.uk receives website enquiries and forwards notifications to our business inbox. Our ContentMate service on app.contentmate.co.uk handles consent records. Website and service hosting providers process connection information to deliver and protect those services. Our business email uses Google Workspace. Access is limited to the people and service providers involved in handling your enquiry and operating the services.

International processing

Google Workspace operates internationally, so business correspondence may be processed outside the UK. Google's data processing terms describe its transfer arrangements and safeguards, including standard contractual clauses where applicable. Contact us for information about the safeguards relevant to your enquiry.

How long information is kept

We keep enquiry correspondence while handling your request and any ongoing project discussion. Retention afterwards depends on whether a project proceeds, outstanding questions, contractual obligations and any need to resolve a dispute or meet legal requirements. Information that is no longer needed should be removed. Client project records may be retained for the duration of the engagement and applicable legal or accounting requirements. Consent and operational records are kept to manage choices, investigate abuse and evidence how the services operate; retention depends on the type of record and those purposes. Your rights

Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your personal information.
